Before you start receiving fruit, it is important to understand a few basic terms used in the system:
Finished Product:
Pallets that have been packed for specific orders used in Dispatch.. Finished products have their own unique Pallet IDs.
Pre-Dispatch QC:
Because fruit might sit in the cold room for a few days after packing, a final Quality Inspection is mandatory before it goes onto a truck to ensure it hasn't spoiled.
Picking:
The process of selecting specific finished product pallets (or portions of a pallet) and assigning them to a specific driver's truck.
Leftover Stock: If a finished product pallet has 100 lugs, but the truck only needs 80, the remaining 20 lugs automatically stay in the Dispatch Cold Room on the system. You do not need to "return" them to stock manually; they will be available for the next driver.

Dispatch Quality Inspection
Goal:
To verify the finished product is still in perfect condition before sending it to a customer.
Steps:
Open the Dispatch Module and click New Dispatch Event.
Look at the list of all fruit currently in the Dispatch Cold Room.
Select the pallet you want to send out and begin the Quality Inspection.
Follow the standard QC process: check firmness (e.g., test 5 punnets per line for retail lugs), check for damages, record pulp temperature, and upload photos.
Approve or Deny the pallet.
Quick Note:
Only pallets that have had a quality inspection done will appear in the picking step.
What Happens Next?: Approved pallets move to the "Add Driver & Pick" stage.

Goal:
To register the delivery truck and allocate the correct products to it.
Steps:
Click Add Driver (e.g., Driver 1).
Select the Customer Groups this truck is delivering to (Retail, Hospitality, or Key Accounts) and upload a clear picture of the physical customer order list.
Under Select Product, enter the exact quantities of each product (e.g., Avo Lugs 2's, Avo Mix Dot) you are loading onto this truck.
What Happens Next?:
The fruit is officially assigned to this driver. If there is a second truck waiting, you can click "Add Driver 2" and repeat the process, or proceed to sign-off.

Goal:
To confirm the load is accurate and hand legal responsibility over to the driver.
Steps:
Select the truck you want to dispatch
Enter the Driver and Vehicle details (Driver name, Truck Registration, Loading Time).
Record the Vehicle Hygiene & Temperature (e.g., ensure the truck is clean, has no pests, and the fridge is at the right temperature).
Review the final summary screen showing all products picked for the driver.
Have the Driver review the physical load to ensure it matches the tablet screen.
Capture digital signatures from both the Dispatcher and the Driver directly on the tablet screen.
Click Dispatch Driver 1.
What Happens Next?:
The dispatched fruit is permanently removed from the facility's active stock, and the leftover fruit stays in the dispatch room for the next event.
